Be ready when the call starts

CallReady is one menu bar item for video calls on your Mac. It shows the next call on your calendar. When a Bluetooth headset takes over the microphone input, or the current input disappears, it puts your preferred microphone back. It also mutes the default microphone with one keyboard shortcut in any app.

The CallReady menu shows the three parts in one status line, for example:

Standup in 4 min · MacBook Pro mic · Muted

Requires macOS 14 Sonoma or later

Three parts, one call

Next call

CallReady reads the events in the calendars you select and shows the next one with a countdown. When the event has a Zoom, Google Meet, Microsoft Teams or Webex link in its URL, location or notes, click Join. macOS opens that link in your browser or meeting app.

Microphone

When Bluetooth headphones connect, macOS often makes their microphone the default input. CallReady acts only in two cases: the default input is a Bluetooth microphone, or the default input is no longer available. Then it changes the default input to the first available microphone in the order you set, for example the built-in microphone or a USB microphone. It does not change a non-Bluetooth input that you selected, and it skips virtual and loopback devices.

Mute

Press Shift-Option-M to mute or unmute the default microphone, in every app. You can choose a different key in Settings. With push-to-talk, hold the shortcut while you speak and CallReady mutes again when you release it. An optional floating badge shows the mute state.

How the parts work together

  • One minute before a call starts, CallReady checks the default input. If a Bluetooth microphone has taken over, or the input is gone, it puts your preferred microphone back. You can turn this check off in Settings.
  • When you click Join, CallReady does the same microphone check first, and then opens the meeting link.
  • When the default microphone changes, CallReady applies the mute rule that you chose in Settings to the new microphone.
  • If you turn on the mute reminder, CallReady shows a local notification one minute before the call when your microphone is still muted.

Requirements

  • A Mac with macOS 14 Sonoma or later.
  • Calendar access for the Next call part. The Microphone and Mute parts work without it.
  • For the Microphone part: a Bluetooth headset to trigger the switch, plus a non-Bluetooth mic to switch back to.
  • Your calling app must use the system default input. In Zoom, Teams or Meet, set the microphone to "Same as System" or "Default".

Privacy in short

  • CallReady reads calendar events on your Mac. It never creates, changes or deletes them.
  • CallReady never records, listens to or analyzes audio. It changes only which microphone is the default, its mute state and, for a microphone without a mute control, its input volume.
  • CallReady collects no data. It has no account, no analytics and no ads. It makes no network connections of its own. When you click Join, macOS opens the meeting link that you chose.
